AccelBooks ("we", "us", or "our") is a service operated by CesarTech. We take your privacy seriously. This policy explains what information we collect, why we collect it, how we use it, and the rights you have over your data.

1. Information We Collect

• Name and email address: Provided voluntarily in the upload form, used to deliver your report.
• Phone number: Optional field collected in the upload form.
• Business role: Optional dropdown selection to help us understand how the service is used.
• Bank statement PDFs: Financial documents you upload for automated processing.
• Network and usage data: Collected automatically at the time of upload. May be used to enforce service limits and prevent abuse.
• Download activity: We log when your download link is accessed for security and audit purposes.

2. How We Use Your Information

• To extract financial transactions from your uploaded PDF and generate a Profit & Loss report.
• To send you the completed report via email, including a secure download link.
• To enforce trial usage limits and prevent system abuse.
• To audit download link activity for security purposes.
• Internal service improvement: Anonymized, normalized transaction pattern data (not your raw financial documents) may be reviewed by our internal team through administrative tools to identify categorization gaps and improve classification accuracy. This review does not involve access to your name, email, or complete transaction history.
• We do not sell, rent, or use your data for advertising, profiling, or any purpose beyond what is described here.

3. Your Data, Your Ownership

You retain full ownership of all data you upload to AccelBooks. We do not claim any rights over your financial documents or the outputs generated from them. Your data is processed on your behalf and is never used to train AI models, fine-tune algorithms, build user profiles, or serve any interest other than producing your report. This applies to all data you upload, including financial documents and personal information.

4. Data Retention

• Bank statement PDFs: Deleted immediately and permanently after processing completes. They are never stored beyond the active processing window.
• Excel P&L reports: Retained for 7 days after generation to allow download, then automatically and permanently deleted.
• Contact information (name, email, phone): Retained in our database for service continuity and business communication. You may request deletion at any time.
• IP address and usage logs: Retained for up to 90 days for security and abuse prevention, then deleted.
• Derived analytical data: When AI-assisted categorization is used, anonymized transaction patterns (such as normalized description strings and category suggestions) may be retained for up to 180 days to improve service accuracy. This data does not include your name, email, or any information that directly identifies you as an individual. It is used solely for internal service quality purposes and is never linked back to your identity.
• Legal consent records: Records of your consent to our Terms of Service and this Privacy Policy are retained for seven (7) years as required by applicable recordkeeping standards (IRS regulations and applicable statutes of limitation). These records contain only your email address, IP address, and the timestamp of consent — not your financial documents or report outputs.

5. Data Sharing and Third-Party Services

We use a limited number of trusted service providers to operate AccelBooks. Data is shared only to the extent necessary to perform the service:

• Email delivery provider: A trusted transactional email service used to send your report and download link. Your name and email address are transmitted only for this purpose. We are not responsible for email delivery failures caused by third-party providers, spam filters, or your mail server configuration. If you do not receive your report, contact us at [email protected].
• Hosting infrastructure: Our service is hosted on secure infrastructure. Files are stored temporarily and deleted according to the retention schedule above.
• AI classification providers: To assist in automated transaction categorization, transaction descriptions and amounts from your uploaded documents may be transmitted to third-party AI API providers (currently Groq, Inc. and DeepSeek). These providers receive only the transaction text and amounts necessary for categorization — they do not receive your name, email address, or any document identifying your business. We do not authorize these providers to use your data for their own model training. Their processing is governed by their respective privacy policies. If you prefer that your data not be processed by external AI services, please contact us at [email protected] before uploading.
• No analytics or advertising platforms receive any of your data. We do not use cookies, trackers, or third-party scripts on this service.

6. Security Measures

• All data is transmitted over HTTPS with TLS encryption.
• Bank statement PDFs are processed in secure temporary environments and deleted immediately after use.
• Download links are time-limited and protected against unauthorized access.
• Administrative access requires multi-factor authentication and is subject to access controls that limit unauthorized attempts.

7. Your Rights (GDPR & CCPA)

Depending on your jurisdiction, you may have the following rights regarding your personal data:

• Right to access: Request a copy of the personal data we hold about you.
• Right to deletion: Request that your personal data be removed from our systems.
• Right to correction: Request that inaccurate information be corrected.
• Right to portability: Request your data in a structured, machine-readable format.
• Right to object: Object to processing of your data for any purpose beyond service delivery.
• Right to withdraw consent: You may withdraw consent at any time. This does not affect processing already completed.

8. Consent

By submitting the upload form, you explicitly consent to the collection and processing of your personal information as described in this policy. Consent is recorded with a timestamp and IP address at the moment of submission. You may withdraw consent at any time by contacting us, though this will not affect reports already processed.

9. Children's Privacy

AccelBooks is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects when changes were last made. Continued use of the service after changes constitutes acceptance of the revised policy.
